Job Description

SUMMARY

The Project Manager is directly responsible for project execution and completion. He/ She is directly responsible for delivering the project on time, on budget, and properly documented. The Project Manager has the most direct impact on the financial goals of the projects they oversee. The Project Manager’s variable compensation available will directly reflect achieving those goals. The Project Manager will report to the upper management regularly the status of the project, the resources employed, and the current budget/ billing status. It will be necessary to obtain an advanced knowledge of related construction trades, techniques, equipment, suppliers, and materials. Documentation of the work within the Procore (or equivalent if changed) along with any additional internal tracking will be updated daily.

General Duties and Responsibilities (include, but are not limited to):

• All phases of work beginning from Pre-Con hand-off to accepted job completion 
• Participating in job walks 
• Assist with driving the safety culture 
• Adhere to necessary regulations and codes and obtain required permits 
• Close project permits 
• Invoice approval 
• RFI and documentation 
• Request for change orders 
• Budget adherence 
• Material procurement 
• Schedule updates and adjustments 
• Client interface and relationships 
• Vendor management and negotiation 
• Employee training, productivity assessment, reviews, and initiation of disciplinary actions 

Detailed Expectations—Project Management Responsibilities

• PM will be required to make regular site visits 
• PM will seek to drive production in a manner that brings the project in, at, or below the given labor, material, and equipment budget 

Safety

• Assist with driving the safety culture by being an example when making site visits, wearing safety vest, hard hat, and appropriate PPE 
• Utilize the “Near Miss” observation to take away the negative stigma of safety corrections and documentation of conditions found on site. Follow disciplinary action procedures when necessary 
• Facilitate, through site management and field operations, the full implementation of the Suncoast Safety Program 
• Have thorough knowledge of the company Policy and Procedures Manual, Haz-Com, and/or Site Specific Safety Plan 

Quality

• Responsible for project operations to comply with Specifications, Contract Terms and Conditions, Regulations, and Codes. Have thorough knowledge of Project Specifications and Drawings 
• Identify potential design and detail issues and request clarification with the appropriate project stakeholders 
• Ensure quality acceptance of work during progression and completion 
• Schedule periodic and final inspections by owner/consultant. Address deficiencies noted during inspections in a timely, courteous, and professional manner to ensure project progression and/or closeout 

Submittals

• Ensure submittals are approved by the project authority 
• Have a thorough knowledge of specified materials and their application 
• Ensure proper testing and certifications are in place 
• Ensure that agreed warranty information is documented 
• Attend pre-construction and job meetings 
• Ensure staffing requirements are met with your superintendents 
• Use Procore Drive to keep updated schedules, track progress, and document project progression 
• Update project schedule at various stages per job requirements and share the updated schedule with project stakeholders 
• Update percentage completion bi-weekly, at a minimum 
• Update Microsoft Project once a month to reflect the current schedule and load a new version in Procore 

Budget

• The PM has the most direct impact on the financial goals of the projects they oversee 
• Use Procore’s tools and reports to document and monitor job costs 
• Hold a pre-construction meeting to review budget allocations (both labor and material costs) with the job’s superintendent. Set written targets for each scope to be tracked by the superintendent 
• Analyze job cost reports to determine recommended actions on overruns 
• Update data in Procore for monthly billing. Prepare billing quantities and percentages for submission in a timely manner to project accounting 
• Input change requests into Procore and, once approved, facilitate change order creation with project accounting 
• Ensure approval of all invoices and all direct costs submitted by AP using the workflow within Procore. All invoices must be approved in a timely manner 

Drawings

• Ensure there is a physical set of drawings permanently on each site 
• Ensure the drawings are uploaded and properly sectioned within Procore 
• Ensure the superintendent has a physical copy of the drawings 
• Assure maintenance of a permanent record set, or that “as-built” information is transferred to a permanent record set 
• Use Procore markup of drawings when appropriate 
• Use Procore tools for RFI’s and change order requests 

Closeout

• Ensure punch list completion 
• Properly close all permits 
• Ensure warrantied product quantities are documented 
• Provide “As-Builts” certification 
• Assist accounting in obtaining unconditional lean waivers from subcontractors and vendors if necessary 

Managing Equipment and Materials

• Ensure material suppliers and subcontractors are current in the project directory in Procore 
• Oversee the management of onsite equipment, including rental equipment costs and rental durations, dumpsters, and owned equipment 
• Manage timely delivery of materials, tools, and equipment 

Subcontractors

• Coordinate material deliveries and subcontract work per progress schedule and adjust as necessary due to changes 
• Assist accounting in obtaining billing from subcontractors 

Communications

• Communicate regularly to management as to the status of project budgets, schedules, and quality 
• Provide clear, concise, courteous, and professional communication with all job stakeholders and assist the superintendent to do the same 
• Document conversations with clients, owners, and consultants in Procore 

Project Manager will have or obtain a detailed knowledge of the following:

• Procore Certification – Project Management 
• Coatings (traditional and deck coatings) 
• Concrete restoration and construction 
• Wall cladding systems 
• Door and window removal/install 
• Caulking and sealant removal/install 
• Wet glazing removal/install 
• Epoxy/urethane injections 
• Carbon fiber reinforcement 
• Swing stage install/removal 
• Scaffold install/removal 
• MEWP operations 
• OSHA 30 Certification 

Travel Requirements

• Occasional attendance at meetings and other off-site events requires the ability to provide transportation 
• Must maintain a professional appearance, a valid driver’s license, and proof of insurance 
• Must be able to travel between job sites, work office, and corporate office 

Conclusion  

• Other duties may be assigned as company needs dictate 
• Management reserves the right to modify this job description at any time and at their discretion
